Introduction to the Basic Functions of TPS Cloud Axis for New Staff

Welcome to TPS Cloud Axis!

This platform provides a range of tools and features designed to help you manage your daily work efficiently. If you're new to the system and unsure where to begin, this guide will introduce you to the core processes. Before you get started, ensure that your firm has configured the database and that you have been granted access to the TPS Cloud Axis APP

Please note that the process may vary depending on the permissions assigned to each staff member.


Your Day-to-Day Process in TPS Cloud Axis 

  • Time Entry: Start by entering your time on the Time Entry screen, and make sure to set it as WIP (Work in Progress) to track your billable and non-billable hours or expenses.
  • Pre-Billing Process - Run WIP Detail or Billing Worksheet Reports: For the pre-billing process, these reports are ideal to determine which transactions need to be billed and whether any mark-ups or mark-downs should be applied. This ensures that the staff responsible for creating the bill knows exactly what to bill and how much to charge.
  • Billing Screen - Create bills:
    • Quick Bill: If you need to bill all transactions posted to WIP on the same invoice.  
    • Detail Bill: If you need to be selective about the lines to include in the bill and apply specific mark-ups or mark-downs to specific transactions.
    • Progress Bill: If you need to create an invoice ahead of time, as the work/WIP transactions might not be available to bill yet.
  • Print/Send Batch - Invoices: Generate/Create the documents, then either print, send invoices by email or through the TPS Portal.
  • Payments: When clients make payments, record them in the Payment section to ensure accounts remain up to date. However, if the firm has integrated TPS Cloud Axis with an online payment service such as Stripe, CPA Charge, Clover Connect, PayPal, or PayClix, any payments made through the TPS Portal or via the direct payment link generated by TPS Cloud Axis will automatically reflect in the database as soon as they are processed.
  • Finance Charges:  If needed, apply finance charges on overdue accounts by accessing Tools - Finance Charges.
  • A/R Statements: Send clients a statement of account to keep them informed of finance charges or any outstanding balances for the current period by sending an A/R Statement - either from the Print/Send Batch - A/R Statements Tab or print them from  the A/R Statement Reports folder.
  • Review Reports: Run A/R Reports and Billing Realization Reports to assess financial performance.
  • Track Workflow & Due Dates: Stay on top of your Workflow by keeping track of  Tasks or Events  to ensure everything is completed on time.
  • Mass Mailings:  Use the Print/Send - Mass Mailing Letters Tab to send mass communications to clients  when needed, such as requesting specific information or files.
  • Close the Period: After all tasks are completed, close the period or month by going to Tools - Period Setup. This process performs multiple tasks on the back end and ensures that A/R transactions, as well as period-sensitive reports, variables and features, are up to date.
