Categories, are a simple feature within TPS Cloud Axis that sometimes get overlooked, yet one that can significantly enhance your firm's efficiency. They act as a versatile filtering option that empowers you to analyze your clients based on specific categories to either run reports, send documentation or even assign workflow events. Categories can be set based on client types, services provided, or mailing preferences. Here are some practical examples:

  • Client Types: Whether it's Corporations, Not-for-profit organizations, Individuals, Partnerships, Estates, or others.
  • Services Provided: Categories can represent the range of services you offer, such as tax forms (1120, 1120S, 1065, 1040, 990, etc.), payroll, payroll taxes, GST/HST, bookkeeping, and more. This categorization aids in service-specific reporting and streamlined management.
  • Type of Mailings: For communication purposes, you can categorize clients based on the type of mailings they should receive, whether it's newsletters, tax letters, or other correspondence.

Let's explore how you can leverage them for various tasks within TPS Cloud Axis:

  • Generating Letters and  Mass Mailings: Accounting firms often send year-end letters to corporate clients. By using Categories, you can quickly compile a list of Corporations and refine it further by adding the 'year-end' filter. The filtered list can be used to generate letters or any other mass mailings. With well-organized categories, reaching the right audience becomes effortless.
  • Workflow Optimization: Imagine streamlining your workflow process by filtering clients under the "1040" category, for example. You can then assign a workflow event, like "Personal Income Tax - Due April 15th Annually," to all these clients simultaneously.

The master list of Categories is located at the bottom of the screen in all 'Client Properties' - 'Categories' tab. You can easily add, edit, or delete categories directly from this screen. Use the 'Actions' - 'Arrow Up' icon to assign relevant categories to the client you're currently working on.
