Within the Tools menu, the Import feature includes an option to Import Work Codes. This section allows your firm to preview and use predefined work code templates or upload a customized work code structure by using the 'Download Sample' file and populating it in Excel for import.

Predefined Work Code Templates:
Within the predefined options, you'll notice the 'Preview' next to each work code template to easily download examples of work code structures to choose the most fitting format for your organization. To use any of the predefined options, click on 'Use' template to review and customize any details on screen before using the
 'Import Data' option.
Import Work Codes Using the 'Download Sample' Excel Document:

Understanding how each column is configured in the sample Excel file is essential for a successful import. Below, you’ll find explanations and examples of the specific data required for each column. 

  • Work ID column represents the record number and should follow a sequential order (1, 2, 3, 4, 5, etc.)
  • Work Type column is used to specify whether it is a: 
    • TYPE 
    • WORK CODE 
    • SUBTYPE
  • Parent Column - assigns the order for organizing Work Code items as follows:
    • TYPE (main folder), leave the Parent column blank.
    • SUBTYPE (subfolder) should specify the 'WorkID' column number of the corresponding Type.
    • Work Codes used in time entries, you'll need to specify the 'WorkID' column number corresponding to either the 'Subtype' or 'Type.'
  • Type column identifies if it is: 
    • CHARGEABLE
    • EXPENSE
    • NONCHARGEABLE
  • Work Code represents that Work ID or Code, it could be alphanumeric.
  • Name is the Work Code Name.
  • Rate Level is determined by the number assigned to the employee properties rate level.
  • Tax1 needs to be set as either:
    • TRUE
    • FALSE
  • Tax 2 needs to be set as either:
    • TRUE
    • FALSE
  • Tax 3 needs to be set as either: 
    • TRUE
    • FALSE


Once the Excel file is ready, click “Choose Excel/CSV File” to open and select the file to upload. Then, click “Validate Data” to check for any items that may need to be corrected based on the column requirements. After validation, click “Import Data”, select the appropriate import settings, and finally click “Start Import.” 

 
This process will import the Work Codes based on the details provided, and will be listed in the Work Codes Menu for any future updates or modifications.
