Overview of TPS Email Functionality 

TPS Cloud Axis includes an integrated email feature, available in the Pro and Ultimate subscription plans, that enables firms to send, receive, and manage email correspondence directly within the platform. To customize how email replies are handled, firms can configure the Email Reply Mode settings in the Firm Properties section for each office.  


Email Reply Mode Options in Firm Properties
Firms can select from three email reply modes:

  1. Employee Email

  2. Office Email

  3. Bidirectional Email


Employee Email and Office Email Reply Modes:
Selecting the 'Employee Email' or 'Office Email' reply mode will route email replies directly to your specified external email address. TPS won't have access to these replies, making the email threads inaccessible from within the software. This configuration allows you to send emails from the TPS Print/Send and other emailing sections, yet any replies will be directed to your external email address.


Bidirectional Email Mode (Recommended for Centralized Communication)

For firms that prefer to manage all email correspondence within TPS Cloud Axis, the Bidirectional Email mode is the ideal choice. This setting allows TPS to receive email replies through a dedicated .net email address assigned to the firm, formatted as:

Email@FIRMURL.net

For example, if a firm’s TPS URL is:

ABC-Accounting

Then the assigned email address will be:

Email@abc-accounting.tpssoftware.net

This centralized approach ensures that all client communication remains within TPS for easy tracking and management.


Email Menu Icon and Client Log Email Tab:
The Email section is easily accessible from the main menu, providing various functions for viewing, assigning, replying, and forwarding emails. Moreover, TPS offers a 'Client Log' within the Client List section for each client. For a broader view of all client communication, there's a firm-wide 'Client Log' option located in the Tools menu. The Email Tab within the Client Log offers columns and filters that help you identify the status of your sent and received emails, ensuring efficient email management.

    Integrations: MS Outlook 365
    Furthermore, the Ultimate subscription plan offers the ability to link with an existing 'MS Outlook 365', account, which functions on a per-user and per-email account basis. This integration synchronizes incoming and outgoing emails between both programs, ensuring that emails are accessible in both Outlook 365 and TPS Cloud Axis simultaneously. The ability to read or reply to emails through this feature is controlled by employee permissions, providing you with flexibility in managing this section.
