To enhance operational efficiency, ensure seamless synchronization of client basic information and A/R transactions—such as invoices with their corresponding transactions, adjustments, finance charges, and payments—TPS provides an integration between TPS Cloud Axis and QuickBooks Online (QBO).
During the initial synchronization process, all mapping is determined and controlled by your firm. TPS Work Codes are mapped to corresponding QBO Products and Services, and the Chart of Accounts. This mapping allows for seamless transfer of data between the two systems. Once the initial synchronization is completed, TPS Cloud Axis will drive A/R transactions and Client main info into QBO and vice versa, ensuring consistency and accuracy. This guide outlines the essential requirements providing a Checklist for the data mapping and the necessary steps to Start the Initial Synchronization for an Existing TPS Cloud Axis Database with a New or Blank QBO database.
It is essential to review the checklist and contact support once ready, as the synchronization feature will not be immediately available on the Ultimate Subscriptions. Our support team must verify that all requirements are met, including having a QBO backup, before the feature can be enabled for your firm.
Once verified, TPS will create a 'TPS Cloud Axis Backup' as a starting point and Enable the feature to Connect to QBO, set the Default Config, and map Clients. After completing these steps, your firm can notify our support team that you are ready to work on the A/R section. This process needs to be done in steps because once your firm starts working on the A/R section, all users should be out of both systems to prevent discrepancies and delays during the initial sync of the A/R transactions.
We hope this overview clarifies the necessary requirements and process. The initial synchronization typically takes around 1 hour, though it may take longer depending on the number of records to be created. Please note that this guide only covers the steps required for the initial synchronization of an Existing TPS Cloud Axis database into a new or blank QBO database. For other scenarios involving existing TPS and existing QBO databases, the process will differ and require comparing transactions and detailed mapping.
