subtotal of billing with an adjustment (S=DWCs)

When I want a client to see and show them an adjustment ($1.00+) to standard billing rates the subtotal of each day of billing is the NET AFTER ADJUSTMENTS. It seems confusing to clients who see this section totals the NET billed and often appears to be basic incorrect mathematics. Is it possible for this to total the daily work performed at standard hourly rates and a single line items showing the adjustment?

Thank you for the question. Invoice Templates display information based on the variables they contain, and some of these variables depend on dates or on the TPS current period. As a result, the data shown by certain variables may vary depending on which variables a firm has selected and how they are combined within the chosen Invoice Template. Here is a brief overview to help clarify how invoice data is generated based on the template and its variables, which may help determine the most suitable invoice template approach for each firm. The Invoice Template could be modified based on the firm's requirements.

TPS Cloud Axis provides several Default Invoice Templates. These templates use TPS variables to merge data from the database into the invoice. While many firms customize their own versions, the two primary default template types are:

  • Standard Templates (IS): Allow full flexibility by allowing the user to manually add the paragraph description and amount within the Billing Paragraph screen. Ideal for firms that want full control over the wording and how amounts appear next to each description line. For instance, adding a courtesy discount line.

  • Detail Templates (ID):  Automatically pull information from the WIP transaction lines included on the bill. Useful when firms prefer descriptions and amounts to populate automatically.
Note: The automatic structure of these variables increases efficiency but reduces customization flexibility.

There are two main Detail Invoice Template variations:
    • ID1 – Detailed Template lists all the Chargeable and Expense transaction lines billed.

    • ID2 – Summarized Detail Template (merges and adds totals of  transactions with identical work codes)

Regarding the question on Amounts and Subtotals variables, TPS provides several built-in variables for these fields. To review the full list of available variables that could be used on the Invoice Templates, navigate to: Tools - Templates - Variables - Invoice Variables tab / Invoice Body Detail tab

These tabs will display all variable options that can be used within Invoice Templates.

Invoice templates can be located and downloaded by navigating to: Tools - Templates - Invoices tab

This section includes:

  • The Default Templates (helpful as a starting point)
  • Any Custom Templates the firm has created or uploaded
