In the pursuit of simplicity and effectiveness in business, firms continually seek ways to streamline their workflow processes while minimizing complexity. For teams operating with few staff members or with little need for detailed task tracking, the Single-Task Workflow Process may be the perfect solution to task management.


The Single-Task Workflow Process may sound familiar to clients transitioning from the On-Premise version of TPS, as it reflects the simplicity of the previous workflow usage. At its core, this process involves creating and managing a single workflow event or task. Once created, the single task is updated and reassigned to the appropriate staff member for the next step, eliminating the need for additional complexities and enhancing efficiency.


Managing the Single-Task Workflow Process from the Firm View vs. Employee View: 

When managing the Single-Task Workflow Process, firms can choose to use only the Firm View or allow staff to use the Employee View as well.


  • Firm View:

Using the Firm View centralizes control, allowing to update, reassign, and record necessary details for the Workflow Event. This can streamline processes and simplify the task handling.

However, this centralized approach has some limitations:

  • Restricted Functionality: Employees may not be able to perform certain actions available in the Employee View, such as quickly creating time entry transactions for specific tasks. The Firm View only allows users to view time entries under the Time tabs for a workflow event but does not permit creating them. Time entry creation for a specific Workflow is exclusively available in the Employee View.
  • Limited Schedule Management: Staff members might find it challenging to manage and rearrange their individual schedules because the Firm View does not allow rearranging Events based on personal calendars. However, rearranging Tasks is possible in the Employee Calendar view.
  • Individual Office 365 Calendar Integration: If the firm integrates the staff's Individual MS Outlook 365 Calendar to prevent overbooking the day, the Firm View will not provide a way for users to see their personal meetings and appointments, potentially leading to scheduling conflicts.


  • Employee View:
    On the other hand, the Employee View offers a more individualized approach by showing the Tasks assigned to the employee. It provides additional functionality, while allowing staff to easily click on the 'Event Details' option within a specific Task to update the Status and other necessary fields in the firm's Workflow Event.
  • Enhanced Functionality: Employees can easily create time entry transactions for their tasks, making it simpler to track based on the work code assigned to that Event/Task.
  • Better Schedule Management: By accessing the Employee Calendar view, staff can rearrange their schedules and Tasks based on their workload. This ensures they handle tasks more effectively in line with their personal calendars and pre-scheduled meetings.
  • Integrated Calendar Access: Employees can view their personal Outlook calendar meetings, reducing the risk of overbookings and allowing for better planning.


Given these considerations, the firm should carefully evaluate its specific needs and the features required to determine the best method of managing the Single-Task Workflow Process. While the Firm View can simplify management, the Employee View offers greater flexibility and individual control. The choice should be guided by the firm’s operational priorities and preferences.
