Client Portal is a valuable tool for sharing sensitive files, invoices, and more with your clients. Follow these steps to effectively invite multiple users to access and utilize the Client Portal in one go.

  • Step 1: Verify Contact Email and Type Assignment - Client Properties
    Before inviting clients to the Client Portal, ensure that each client record has a valid 'Contact email' and 'Type' assigned in the Client Properties - Contacts Tab. This is essential for sending invitation emails and enabling access to the Portal.

  • Step 2: Using the Invite Tab in Tools - Client Portal
    • Navigate to Tools - Client Portal: Within the Client Portal section, access the 'Invite' tab. This is where you will manage invitations to clients.
      • Setting Invitation Parameters:
        • Contact Type: Select the type of contact you wish to invite from the dropdown menu. Options include 'None', 'Primary', 'A/R', 'Owner', 'Contact 4', and 'Contact 5'. You can invite multiple contacts per client; however, this tool only allows you to invite one type of contact at a time.


        • Permissions: Define the permissions or roles for the invited users. Roles include the option to grant or restrict 'View', 'Download', 'Upload', or 'Delete' permissions. To choose or create a new role, click on 'Add Roles' to view existing roles created by the firm; if the roles have not been created, click on 'Create New Role +' and specify the name, description (optional), and minimum required folder clearance level (if applicable). Once created, select the desired permissions and click on 'Submit' to save the role. You can then select that role and click on 'Add Selected Role' to proceed with the Invitation parameters.


        • Firm Display Name: Select the name that should be displayed as your firm's identifier when users log in to the Client Portal.

        • Additional Information: Optionally, add any extra information you want to include in the invitation email, such as instructions or contact information for further assistance.

      • Review and Manage the Contacts Receiving the invitation
        • Review the Contact List: On the right-hand side of the screen, you will see the invitation list filtered by the Contact Type selected. Review the contacts to ensure all have valid email addresses. You can identify contacts without email addresses and remove them using the red recycle bin icon.
          Note: To add an email address to a contact, it must be done from the Client Properties - Contacts Properties option.

        • Send Invitations: Once all the invitation parameters are configured and reviewed, click on 'Invite Users' to send the email invitations. Each invited contact will receive an email to access the Client Portal using their invited email address.

Important Note: Each invited user is responsible for resetting their password. Password resets are private and can only be initiated by the user, who must access their email inbox to complete this process.


By following these steps, you can effectively invite multiple contacts to access the Client Portal, facilitating secure file sharing and communication between your firm and the clients.
